Start with the repeatable task
Choose a process with a clear input, owner and useful output. Lead capture and routing can be a better starting point than asking an AI system to make broad marketing decisions.
Document the existing path and the exceptions. If the team cannot explain what should happen, automation may amplify confusion.
Decide where judgment belongs
AI can assist classification or prepare a draft, while deterministic rules can handle straightforward routing. Human review should remain where errors would materially affect customers or the business.
Define an escalation path for uncertain cases. Keep a way to pause the workflow and inspect failures without losing incoming enquiries.
Keep access proportionate
Map what data each tool needs and which operations it may perform. Avoid sending unnecessary customer information into new systems. Confirm platform support and account access before promising an integration.
Test with non-sensitive inputs, then validate permissions and logging before using a live workflow.
Measure reliability
Track completion, exceptions and response time, then review the output. A workflow that runs quickly but routes leads incorrectly is not an improvement.
Review the workflow when business rules or connected tools change. Useful automation needs maintenance as well as a successful first run.
